Fragrance Du Bois is a global luxury perfume house known for its rare ingredients, refined craftsmanship, and immersive storytelling. Our presence spans the world’s most prestigious retailers, and we are expanding rapidly across new markets. We are now seeking an exceptional Office Manager / Executive Assistant to join our team in Miami and play a key role in maintaining the smooth, elegant flow of our operations.

This role combines the precision of office management with the discretion and agility of executive assistance. You will support senior leadership in day-to-day tasks while upholding the elevated standards that define our brand. From organizing high-level meetings and managing communications to maintaining order and grace within the office environment, you will be the silent engine behind our success.

Key Responsibilities:

• Ensure day-to-day office operations run seamlessly (inventory, schedules, vendors, logistics)
• Provide executive assistance to the U.S. VP, including calendar, travel, and confidential correspondence
• Act as a professional liaison between Fragrance Du Bois and retailers, press, and global partners
• Prepare and coordinate internal reports, presentations, and brand documents
• Assist with event planning, client gifting, and luxury sampling logistics
• Track budgets, expenses, and light bookkeeping when necessary
• Maintain an organized, beautiful, and efficient office space that reflects our brand’s aesthetic

Ideal Candidate:

• Minimum 2–3 years of experience.
• Impeccable organizational skills and grace under pressure
• Excellent written and verbal communication; fluent in English (Spanish is a plus)
• Highly detail-oriented, proactive, and discreet
• Proficient in Microsoft Office, Google Workspace, and modern productivity tools
• Passion for luxury, fragrance, and the art of service
• Polished presentation and an intuitive understanding of high-end client and brand standards
